The burden of Modern Information Management requires consideration of both local and international Acts. These Acts and Regulations include, amongst others:

  • The POPI Act
  • National Archive Act
  • GDPR

Key criteria have been allowed for in our EDMS, such as:

  • The entrance point to the EDMS system is made up of a visually pleasing and modern interface.
  • This landing provides access to the entire system through quality navigation and access control.
  • User authentication provides world-class security and permission control.

The Action Centre provides a secure place to:

  • Register requests formally for items to be considered in meeting agendas. This includes different types of meetings, like Manco, Exco or Committee meetings.
  • Register documents formally using the appropriate file plan that is being considered for classification records – the classification is based on the criteria as set out by the National Archiving Act.

The “My Assistant” site provides insight and assistance to the user:

  • Uploading relevant documents for further action by the Human Resources or Finance teams.
  • Logging complaints or registering issues.
  • Accessing recent documents worked on by the user.
  • Logging a suggestion.

The “Meetings” sites are dedicated to the following:

  • Providing a secure place to manage all formal meetings.
  • Each ‘meeting type’ should have its own site.
  • Each site has its own space to save documents and keep minutes.

The “Day-2-Day” area provides an interface to a set of sites earmarked for daily work:

  • The Day-2-Day sites are there to provide a secure platform for users to work and save documents each day.
  • Each site can and should have its own permission structure that allows or disallows access based on user authentication.
  • This further provides a storage and document management space for each department and can assist in managing content that is not classified as a formal record, but still may require protection and retention, based on certain Acts, like POPIA.

The “Records” site:

  • The Records site is used to store and show the different File Plan Records.
  • The records are approved or rejected depending on whether the documents fit the relevant criteria.
  • A formal record cannot be edited or deleted.
  • Additional retention labels and policies are applied on the record, based on the required amount of time the document should be kept and classified as a record.
  • A disposition workflow is automatically initiated when the ‘end date’ of the record approaches.
  • The disposition workflow can result in an extended term as a record, a move to the archive, or deletion, depending on the legal criteria involved.
